RTVision – Terms & Conditions

These terms are designed to help you understand what to expect when working with RTVision. By booking our services, you agree to the following:

A non-refundable deposit of 10% of the final total is required to secure your booking date.
The remaining balance is due at least 14 days before filming is to commence unless agreed otherwise in writing.
Payment can be made via cash, cheque, or bank transfer.

If you cancel, your deposit will not be refunded.
If you wish to reschedule your filming date, we will do our best to accommodate you, subject to availability.
If we are unable to fulfil your booking due to illness, emergency, or circumstances beyond our control, we will provide a full refund of any payments made (excluding completed work or expenses already incurred).

By booking us, you acknowledge that you have viewed our portfolio and are happy with our style and approach.
We will always take your requests into account, but final creative and technical decisions rest with RTVision.
We do not guarantee the inclusion of specific people, moments, or locations, though we will do our very best to accommodate your creative decisions.

The client must arrange access and permissions for filming at all required locations.
We cannot be held responsible for poor sound, lighting limitations, or visual quality due to the circumstances at the filming location.
If filming is delayed or restricted due to client or location actions, we may adjust the coverage or apply additional charges.

Travel is charged at 45p per mile from DY1, and all parking charges will be paid for by the client.
Accommodation, parking, and subsistence costs will be charged for long-distance or multi-day shoots. These charges will be detailed on your quote.

Your booking includes coverage for the agreed hours stated in your contract. A full day is considered 8 hours, with a half day being 4 hours.
Additional hours will be charged at £50 per hour and must be approved by the client before filming can continue.

For outdoor shoots, we will work around weather conditions as best as possible.
If filming must be rescheduled due to bad weather, we will agree a new date subject to availability.
Additional travel or accommodation costs from rescheduling will be chargeable.

The client is responsible for the behaviour of all attendees at the shoot.
We reserve the right to stop filming if any of the RTVision team feel unsafe or threatened, or if our equipment is at risk of damage due to behaviour or environmental conditions. No refunds will be offered under these circumstances.

RTVision may hire trusted freelance camera operators, sound technicians, or other specialists to assist with your project. All freelancers are sourced from reputable, experienced professionals who meet our quality standards.
RTVision will remain the main point of contact and will manage and direct all personnel during the shoot.
Freelancers are bound by the same professionalism, conduct, and confidentiality standards as RTVision staff.

Drone filming is subject to weather, location permissions, and relevant UK aviation laws.
We cannot guarantee drone use if conditions are unsafe or permissions are not granted.
Any required permits or location fees will be charged to the client.

Where music is included in your video, we will use properly licensed or royalty-free tracks suitable for your needs.
If you require a specific commercial song, it is your responsibility to secure the necessary licence.

Where stock footage is included in your video, we will use properly licensed or royalty-free clips suitable for your needs.
If you require specific footage to be included in your final video, it is your responsibility to secure the necessary licence.

Standard delivery time for the final video is approximately 4 weeks from the filming date unless otherwise agreed.
Two rounds of reasonable edits are included in your package. Additional edits will be charged at £50 an hour.
Final videos are delivered in digital format unless otherwise agreed.
Once your final video is ready, we will email you a private link to review it. It is your responsibility to check the video carefully for accuracy, including names, details, and the people featured. When you confirm in writing (by email) that you are happy with the video, this acts as your official sign-off. After sign-off, RTVision accepts no responsibility for any errors, omissions, or issues identified later, and any further changes will be treated as a new edit and charged accordingly.

RTVision retains the copyright to all footage and edits created.
Clients are granted a licence to use the final video for personal, business, or promotional purposes (as agreed at booking).
Footage may be used by RTVision for promotional purposes unless you request otherwise in writing before filming.

We take great care with all equipment and data. In the rare event of technical failure, damage, or loss beyond our control, our liability is limited to a refund of the amount paid for services not delivered.
We are not liable for consequential losses, missed opportunities, or emotional distress caused by missed footage.

We will store your final edited video and all footage captured for 6 months. After this period, we cannot guarantee its availability.
Raw footage is not normally provided unless agreed in advance. This will be charged and will include the cost of an external hard drive to deliver the footage. All raw footage will be captured in BRAW format and filmed in a flat, log colour profile to allow for maximum flexibility in post-production
